Some Of The Features You Can Expect

All Plans are designed to give every Customer full functionality.  The Advanced Plan has the added benefit of Advancing Reporting which does not take away, in any form the essence of how it works.

The Software was designed for ease of use. On most screens where appropriate there are Training Videos designed to help the user navigate and perform tasks. Checklist Administrator's find these videos invaluable, as our Customer feedback has confirmed. Any Data such as Dates, Times, Job Names, etc that are required where appropriate will have Helpful Tips associated with them, detailing as much information as possible to help make a decision.

Our Training Videos and Help functions are constantly updated so the user has the best advice available at all time. There is a learning curve, as with all Software but we have made the transition easy for you.

Standard Functionality

Jobs/ Job Groups

The System is designed around Jobs and Job Groups for showing Checklist work/tasks.

A Single Job as the name implies is one Job to be performed on the Checklist.

A Job Group is a List of Associated Jobs. The reason these are all Associated is become they have to run one after the other, in order. It makes sense to Group them. A good example is running a backup, the first job may be to load the backup tape, the second might be to set the backup going, etc. Individual Jobs in a Job Group can be Scheduled to Run independently of one another. Let's say on the 3rd of the month an additional job has to be run then it can be scheduled inside the Job Group.

Colour Management

Each Checklist can be altered to show Checklist Specific colours, which will bring your Checklists to life, and help organise work better.

This was a request that was added in the last upgrade as many Customers asked for this  to help them differentiate between Checklists.

Checklist Testing

This is used to Test Checklists before they go into Production. Basically no updates take place and you can view your results for testing purposes.

A great way to see your results before going 'live', or for that matter just to see how your Checklist will look before you create it.

Header/ Footer Configuration

Every Checklist that you create can have individually configured Headers and Footers, that only apply to that Checklist. Some of the aspects you can change are, and these are just a few:

Header/Footer Title
Header/Footer Sub Title
Header/Footer Date & Time Configuration and placement
Header/Footer User Messages
Header/Footer Borders
Header/Footer Logo Management
Header/Footer Date & Time Management
Header/Footer Scheduled Messages

header Title, Page Numbers can be Disabled or Enabled to form a Bespoke Checklist.

Leading/ Trailing Pages

These can be Enabled/Disabled depending on Configuration, and provide additional information on work loads. If you have any special instructions that you want the user to see, or have a permanent Leading/Trailing page, then this is invaluable.

These Pages can also be Scheduled.

System Activity Log

This is a log of all Activity on Checklists, what was  changed, when, before and after values. This log can be downloaded or diagnosed if issues occur.

Advanced Scheduling

Each Job/Job Grouping can be schuled to run in the following ways:

  • Daily
  • Weekly
  • Monthly
  • Calendar Based
  • Cycles
  • Runs
  • No Scheduling at all

All scheduling scenario has been identified.

With a mix like this, you will never have to worry about complex Job/Job Group scheduling.

This is where The Checklist Centre is head and shoulders above the competition.

'Pause' Points & Banner Messages

Each Job/Job Group can have Headers assigned to them, to display Information before the work commences.

You may want someone to 'Add Toner' to printers, to put 'Tapes in Backup Devices', then this is where it is added.

Backups

Dependant on the Plan you choose, you can be guaranteed of at least 1 year of Checklist Backups.  The Enhanced plan has 2 years.  You will never have to worry about lost or misplaced checklist every again.

Advanced Functionality

Job Cycles & Job Runs

Cycles are used by business to manage recurring Jobs. You may have 4 Cycles a month, each with different Jobs/Job Groups associated with them. Every time a cycle is selected to Run, the Cycle is automatically incremented. And so the process continues, after the 4th Cycle, the system will then run Cycle 1.

Cycles can be added to Calendars, and even have no Dates assigned to them, so you can run them on the fly.

Runs are the opposite of Cycles. You may have a Job/Job Group that is assigned to a Run, that Run may be Scheduled to Run 7 times only. At the end of the Run the Job/Job Group will disappear off the Checklist.

System Values

This is where we truly take off on Checklists!  'System' values are pre-assigned that you can use anywhere on your Checklists.  All you need to add a value is just type it up and The Checklist Centre will take care of the rest.  The software will automatically assign that value and display it on your Checklist.

So let's say you are in the 'Description' part of a Job and you would like to display the current date (and remember you can change the format of this value as well), this is what you might type.  Let's say we are doing a Backup and we need to Label the tape with today's date:

Label Tape With The Following Date:  $$Date

That's it!  When your Checklist is created, this is what will display in the Description of the Job:

Label Tape With The Following Date:  22/04/2020

User Values

Not only do we start with System Values which you can use in your Checklists, but we have now added to this and allow the incorporation of logic!

The power of the User Defined Values is that they are created by you based on System Values.  Let's say for example you wanted to show the Date 7 days from Today.  All you would need to do is created a User Defined Value based on the Current Date and assign it to a User Defined Value.
